About

The GT College of Computing Undergraduate Council, or UCouncil for short, comprises the leaders of all CoC student organizations, and serves as a forum for communication between student leaders and the Office of Outreach Enrollment and Community (OEC).

Student leaders use it as a venue to collaborate with peers and voice their concern to OEC. The OEC, in turn, uses UCouncil's bi-weekly meetings to communicate with student organizations.

The OEC is the department within the College of Computing dedicated to supporting and growing the community of people surrounding the CoC. The office of Community, led by Troy Peace, is the most important part of the OEC for student organizations. The office of Community supports events such as homecoming, and all club activities. Student organizations interact with the office of Community to plan and organize events, get funding and approval for club activities, and participate in activities organized by the OEC.

The Corporate Affiliates Program (CAP) is another important feature of the CoC student org ecosystem. The CAP program is made up of a group of companies pay the CoC for exlusive or prioritized recruiting privilages on campus. These funds are what allow the CoC to support our vibrant community of student orgs. CAP companies sponsor events, give tech talks, and interact with students on campus, with the goal of building relationships that lead to hiring GT students. When a student org needs funds, technical expertise, or would like to organize a career advancement event, the CAP companies are who they reach out to. Within the OEC, Alicia Palmquist manages relationships with CAP companies, and is the right person for student orgs to contact regarding CAP sponsorship.

These are useful links and information for any org president.

Item, Service and/or Event Request Form

Use this form if you are requesting an item, service and/or event. This form can also be used for room/venue requests for one time events. You will hear back about your request in 2 business days. If you requesting an event, please submit the form at least two weeks before the date of your event.


Printing Request Form

Use this form for your org's printing needs, including small and big sized posters. Your printing request will be fullfilled in two business days.


Reimbursement Request Form

Used by any pre-approved expenses your org had, such as supplies, prizes, catered food, etc. However, please note that weekly pizza/snacks are ordered by OEC automatically. Attach receipts and submit within a week of your purchase to OEC.


Semester Agenda Template

Every org should submit to OEC an agenda for the semester (or year). This is an example of one.


Semester Budget Template

Every org should also submit to OEC a tentative budget for the semester. This is an example of one. Submitting your budget allows OEC to allocate the necessary resources for your org. Your budget will be reviewed and you will be notified which of your budget items are approved. Once an item in your budget is approved, you can claim it using the Item/Service/Event request form shared on this page.

FAQ

Can orgs meet during the week of Career Fair or the week of the reading period?

No.

Can my org invite representatives from companies outside of the CAP list?

Yes, but contact Alyshia Jackson and/or Troy Peace beforehand. There are specific rules for how that works.

Do I need to order pizza?

For weekly meetings, no; Alyshia Jackson will order pizza for you. For other events, you will have to inform Alyshia Jackson about the food that you need. On the day of your event, the pizza will be ordered and delivered for you. In some cases, she may ask you to order a pre-approved set of items, and you'll be able to submit a reimbursement request form.

Can my org get T-­Shirts for my club members?

OEC will not fund any swag for organizations, but orgs are welcome to try to raise funds to pay for t-shirts, stickers, etc.
